Clients Introduction

In this fair processing statement, “we”, “us” and “our” refers to MJD Ventures Limited t/a EasyDBS and “you” and “your” refers to any visitor to https://www.easydbs.co.uk (“the Website”).
By accessing the Website and providing us with your personal details, you agree to accept and be bound by our privacy policy, the key terms of which are non-exhaustively summarised in this fair processing statement.

Our online Disclosure & Barring Disclosure application service is an alternative to the traditional paper Disclosure Application Form (DAF). It has been approved for use by the DBS (Formerly CRB).

All information is stored in a secure environment, compliant with DBS (Formerly CRB) standards. All information is encrypted and submitted to and from DBS (Formerly CRB) via secure government pathway.

The online process mimics the paper application process. Information submitted is checked for accuracy by us and forwarded to the DBS (Formerly CRB) who coordinate the necessary checks, collate information, and dispatch the Disclosure Certificate.

All organisations using our services are required to sign an agreement. This requires organisations to:

  • Abide by the DBS (Formerly CRB) Code of Practice
  • Abide by the Data Protection Act 1998
  • Have a policy for the recruitment of ex-offenders and a policy for secure storage, handling, use, retention and disposal of Disclosures and Disclosure Information.

All information requested is used solely for the purpose of producing a Criminal Record Disclosure and is collected, stored and processed by us and the DBS (Formerly CRB) in accordance with the Data Protection Act 1998. All information held following a Disclosure application will be securely destroyed when no longer required.

We will treat your personal information as confidential and we will not disclose it to any third party except: (i) with your prior agreement; (ii) as necessary for providing our DBS (Formerly CRB) online service to you; or (iii) as required by law. In accordance with Section 7 of the Act you will be provided with a copy of any information we hold about you, on request.

Statement of Fair Processing

In order for you to use the online Disclosure and Barring Service (DBS) Disclosure Application Service and complete your application you are required to give your consent. Your consent is required so that:

•EasyDBS can apply for a DBS Disclosure
•EasyDBS may pass on your information to the DBS to carry out a Disclosure
•The DBS can complete your DBS Disclosure in accordance with the Data Protection Act 1998. All personal information submitted will be treated with the strictest of confidence.

Consent Declaration

You are required to give consent for your information and details to be used to obtain a DBS Disclosure and understand that EasyDBS, a DBS Registered Body will share this with the DBS.

Personal data will only be processed with the consent of the individual for the purpose of administering a Disclosure application. Any information provided will be securely held on a password-protected database with access restricted to named individuals who require access as part of their normal duties. Information will not be shared with any other parties outside of the Disclosure process except where required by Law, without the express consent of the individual. If, as a Registered Body, we utilise a third party supplier who has access to DBS electronic application data then this third party has been approved by the DBS to process and handle this data securely. All information held following a Disclosure application will be securely destroyed when no longer required.

In accordance with Section 7 of the Act you will be provided with a copy of any information we hold about you, on request.

Guidance

In using this service it is important you understand about the service and your rights. Further information is available within the DBS Code of Practice located on the DBS website. This service is supplied to the organisation requesting the Disclosure Application by agreement and in accordance with the requirements of the DBS, the DBS Code of Practice and the Data Protection Act 1998.

Applicants seeking to use this service must consent to:

•Provide information about themselves in accordance with the DBS Disclosure requirements
•The applicants employer/sponsor applying for a Disclosure for the position or job which is being applied for
•EasyDBS, submitting their information to the DBS for the purpose of applying for Disclosure

Prior to submitting your information you will be asked to read and agree to an online consent statement. If you choose not to give consent then you will not be able to submit your application via the online process.
